Privacy Policy

Just Easy Books (“we,” “us,” “our”) provides fractional CFO, accounting, tax planning and business intelligence services. This policy explains what personal information we collect, why we collect it, how we use it, and the choices available to you.

It covers two distinct situations: information you submit through this website, and information we handle when you engage us as a client. We describe these separately because the second involves financial records and carries additional obligations.

Information you give us. When you submit a form on this website, we collect the details you enter. That may include:

• Your name and the name of your business
• Your email address and telephone number
• Your industry and approximate annual revenue range
• A description of what you would like help with

Information collected automatically. Our hosting infrastructure records standard technical information when pages are served, such as your IP address, browser type, device type and the pages you visit. This is used for security and to understand aggregate traffic patterns.

We do not ask for, and do not want, sensitive categories of personal information (such as government identifiers or health data) through this website.

We use the information you provide to:

• Respond to your enquiry and schedule a discovery call
• Prepare for that call using the context you supplied
• Provide, operate and improve the services you engage us for
• Send you information related to an active engagement
• Comply with legal, tax and professional record-keeping obligations
• Protect against spam, abuse and fraudulent submissions

We do not sell your personal information. We do not rent, sell or trade contact details to third parties for their own marketing purposes.

Where applicable law requires us to identify a legal basis for processing, we rely on: your consent (which you give by submitting an enquiry and may withdraw at any time); our contractual necessity in delivering services you have engaged us for; our legitimate interests in operating and securing our business; and legal obligation where we must retain records.

This website does not use advertising or analytics cookies, and does not run third-party tracking scripts. We do not build advertising profiles or follow you across other sites.

Two things worth disclosing that are not cookies in the traditional sense:

• Spam protection. Our contact forms are protected by Cloudflare Turnstile, which loads a verification challenge to distinguish humans from bots. It may set technical identifiers for that purpose.
• Web fonts. Typefaces are loaded from Google Fonts, which means your browser contacts Google servers when a page loads. Google may receive your IP address as a result.

If we add analytics or advertising tools in future, we will update this policy and, where required, request your consent before those tools load.

We share personal information only with service providers who help us operate, and only as needed:

• Website hosting and asset delivery providers
• Our form and email delivery infrastructure, which routes enquiries to our inbox
• Accounting, payroll and practice-management software used to deliver client work
• Professional advisers (legal, insurance, accounting) where necessary
• Authorities, where we are legally required to disclose

These providers are permitted to use your information only to perform services for us, not for their own purposes.

If you engage us, we will handle your financial records — ledgers, statements, payroll data and similar. We treat this as confidential client information under our engagement terms.

We access your accounting systems to perform the work you have engaged us for. You retain ownership of your records at all times and can revoke our access at any point. We do not use your financial data for any purpose other than delivering the services you have requested, and we do not disclose it to third parties except as required to deliver those services or as you direct.

We keep enquiry information for as long as needed to respond and maintain a record of our communications. Client engagement records are retained for the period required by applicable accounting, tax and professional standards, after which they are securely deleted or anonymised.

Where a specific retention period is required by law, we retain records for at least that long even if you ask us to delete them — we will tell you if that applies.

We use administrative, technical and physical safeguards designed to protect personal information, including encrypted transmission (HTTPS), access controls and limiting access to those who need it to do their work.

No method of transmission or storage is completely secure. We cannot guarantee absolute security, but we will notify you and any relevant regulator of a breach where we are legally required to do so.

Depending on where you live, you may have the right to access a copy of the personal information we hold about you, ask us to correct or delete it, object to or restrict certain processing, withdraw consent you have given, and request that your data be provided in a portable format.

To exercise any of these rights, contact us using the details in section 15. We will respond within the timeframe required by applicable law and will not discriminate against you for making a request. You may also complain to your local data protection authority.

If you are a California resident, you have rights under the California Consumer Privacy Act (as amended), including the right to know what personal information we collect and how it is used, the right to request deletion, the right to correct inaccurate information, and the right to opt out of the sale or sharing of personal information.

We do not sell or share your personal information as those terms are defined under the CCPA, so there is no opt-out necessary. To exercise any other right, contact us using the details in section 15.

Our services are intended for businesses and are not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us information, please contact us and we will delete it.

This website may link to third-party sites, such as accounting platforms or scheduling tools. We are not responsible for their privacy practices. We encourage you to read the privacy policy of any site you visit.

We may update this policy from time to time. When we make material changes, we will revise the “last updated” date at the top of this page. We encourage you to review it periodically.
